JAZZ BILZEN AWARDS COMPETITION REGULATIONS

Jazz Bilzen Awards is a joint initiative of the City of Bilzen and Limburg Province (hereinafter referred to as the Organisers). Held every year, this music photography competition pays a tribute to both professional and amateur photographers, who are invited to submit any particularly striking photographs they have taken during the past year.

These regulations are designed to specify who is entitled to take part in the competition, the different stages of the competition and what awards are presented. As the aim is to ensure all the participants receive the same information, the Organisers are unable to enter into any correspondence about the competition. Full details about the competition are featured in these competition regulations and are available for consultation on the website http://www.jazzbilzenawards.be. In the event of a conflict, the provisions in the competition regulations will take precedence.

Persons employed by the City of Bilzen and Limburg Province and their family members are not allowed to take part in the competition.

Participants implicitly declare their unconditional acceptance of these regulations by taking part in the competition.

Art. 1 Who is entitled to participate?

Both professional and amateur photographers are entitled to participate.

Art. 2 Description of the photographic assignment

The Awards comprise two categories and participants are entitled to take part in one or both categories: best series of photographs and best live concert or festival photographs.

The pictures may be work that has been commissioned (for covers, posters, …) subject to the conditions set out below concerning the intellectual rights inherent in the photographs. The photographs should be taken during the period from October 2014 to 30 September 2015.

They may take the form of a portrait, an atmospheric shot, a snapshot of a performance or the events surrounding a festival. Include a short text with your image or series, have each photograph accompanied by an explanation (who, what, where, when, etc., …)

Category 1: Best series of photographs

  • Compile a series of at least 5 and no more than 25 photographs taken between 1 October 2014 and 30 September 2015.
  • Forward these via Wetransfer or Yousendit (Hightail) to info@jazzbilzenawards.be.
  • The photographs should reach us at the latest on 11 October 2015.
  • All genres of music and photos are accepted.
  • It is up to you to decide on the order of the photographs, otherwise we will arrange them in chronological order.

Your selection should be accompanied with a commentary (photograph caption and the date when the photograph was taken). The panel judges will assess this selection in its entirety according to the following criteria: technically successful photographs and particularly striking images of musical events.

The 5 nominees chosen will be notified personally about their success in being selected. The Organisation will have contacts solely with these 5 nominees.

The awards are:

  • €5,000 as first prize
  • €2,500 as second prize
  • €1,250 as third prize
  • The other nominees will receive a cash prize of €100.

The 5 nominees’ photographs will be shown in an exhibition, organised at a location in Bilzen (2015), linked to the competition. Some of the winners’ photographs will be made available to the press during the competition.

Category 2: Best live concert or festival photograph

  • Submit a selection of a maximum of 10 photographs taken between 1 October 2014 and 30 September 2015 by posting these on the Jazz Bilzen Awards flickr page: flickr.com/groups/jazzbilzenawards.
  • Entries will be closed on 11 October 2015.
  • All genres of music are accepted.
  • Any photographic means are acceptable, ranging from a ‘professional’ camera to a Smartphone.

The 10 nominees chosen will be notified personally about their success in being selected. The Organisation will have contacts solely with these 10 nominees.

The awards are:

  • €750 as first prize
  • €500 as second prize
  • €250 as third prize
  • The other nominees will receive a cash prize of €100.

The 10 nominees’ photographs will be shown in an exhibition, organised in at a location in Bilzen (2015), linked to the competition. Some of the winners’ photographs will be made available to the press during the competition.

Art. 3 Indemnification

You are required to declare that all the photographs submitted are your own work and you have the appropriate rights in order to take part in the competition with these photographs. You are required to declare that the photographs do not infringe the rights of third parties and in particular the intellectual rights (or exclusive use rights) and the portrait and privacy rights of these third parties.

However, if the photographs should (may) infringe the rights of third parties, you are required to indemnify the Organisers against any claim by these third parties owing to this infringement. The Organisers also reserve the right to exclude from the competition the photograph in question or the selection to which the photograph in question belongs.

 

Art. 4 Different stages of the competition

  • Entries are closed on 11 October 2015.
  • A five-member panel of judges assesses the entries according to the aforementioned criteria. The panel comprises three professional photographers and two members of the Belgian music scene.
  • The prize-giving ceremony for the Jazz Bilzen Awards will be held in Bilzen on Saturday, 14 November 2015. Participants will be sent an invitation.

Art. 5 Right to use the photographic material

You are required to provide the Organisers with a non-exclusive user licence to reproduce the photographic material submitted, in the form of the selection submitted or otherwise, and communicate it to the public during this and subsequent instalments of Jazz Bilzen Awards.

This implies in particular that you agree with your photographic materials being used on the website and social media pages of Jazz Bilzen Awards, for the prize-giving ceremony, during the exhibition about the competition and to promote subsequent instalments of the event. You are also required to agree to allow the photographs to be included in the Jazz Bilzen Awards archive being created. The visual material featured in this archive may be reused by the Organisers in the future for non-commercial purposes, provided, where possible, a reference is made to your name, the caption and the date of the photograph.

A number of ‘winning’ photographs will be made available to the press. You are required to agree that these photographs may published for the purpose of ensuring the media coverage of the competition.
